Description

Unit: Operations

Location: Omaha / Remote Hybrid

Travel Requirements: No regular travel (potential annual travel to Rwanda office)

Status: Full Time, Exempt

Management Level: Individual Contributor

Application Deadline: August 15, 2022

The Foundation

The Susan Thompson Buffett Foundation (STBF) is a private grant-making Foundation with a U.S. home office in Omaha, Nebraska, and a global office in Kigali, Rwanda.  With annual spending in excess of $500 million, it is one of the largest private foundations in the U.S. The Foundation is unusual for donors of such size as it has only two main areas of grant making: 1) supporting efforts to reduce unintended pregnancy and ensure access to safe abortion for women in the U.S. and around the world and 2) to enable low-income students in Nebraska to attend and succeed in college. The Foundation currently employs 43 staff across 14 states in the U.S. and 7 staff in Kigali, Rwanda.

 Unit Description

This role will be part of the Foundation Operations Team, currently a four-person team consisting of the following members: Director of Organizational Development, Director of Finance, Operations Coordinator, and HR/Payroll Coordinator.

Summary

The IT Manager will be the first dedicated IT headcount for the Foundation and will report to the Director of Finance.

Until now, all Foundation IT needs have been outsourced to an external vendor called 12 Points (referred to as EV throughout this document). To support evolving organizational needs, we have created this new full-time internal role. The EV will still provide services related to security, licenses, server support and other items as deemed appropriate. The IT Manager will manage the

EV/ Foundation relationship.  In addition to the responsibilities listed below, a typical “day in the life” for this role will develop and grow over time. This is a highly entrepreneurial role with many opportunities for ownership and leadership in scaling the IT infrastructure of the Foundation. The selected candidate will need to be adaptable, resourceful and a self-starter to help define and shape the role.

 Shared Values

The Foundation is intent on safeguarding the values Mrs. Buffett lived by: respect, integrity, authenticity, humility, compassion, kindness, humor, curiosity, and, most importantly, love for humanity. The IT Manager will need to have a genuine understanding of, and appreciation for, the significance of these values and aspirations and how they are operationalized in the work the Foundation undertakes.  Finally, the candidate will need to be aligned with the Foundation’s progressive values, including unambiguous support for women’s reproductive freedom.

     What You Will Do

  1. Serve as the single point of contact for Foundation related IT functions. This includes managing the EV relationship, other technology vendors (like Verizon), technical troubleshooting for staff, and preparing laptops for all functionality, software and required security protocols.
  1. In partnership with the EV, ensure all security, licenses and cyber risks are managed, current and monitored.
  1. In partnership with the leadership team, facilitate technology, inform IT policy decision-making, implement Foundation strategies, and manage IT documentation.
  1. Understand, anticipate, and manage interdependencies between technology, operations, and the program teams. Interact and communicate clearly and consistently with internal stakeholders as it relates to pertinent technology-related matters.
  2. Equipment ordering and shipping, including international shipping to our Rwanda office and domestic shipping for remote staff across 14+ states.
  3. Manage inventory for all Foundation equipment including laptops, peripherals and annual warranty/replacement review.
  4. Develop a system to ensure equipment is accounted for upon staff turnover and upgrades to new equipment.
  5. Drive and execute continuous improvement in Foundation technology processes, including phone systems.
  6. Work closely with the finance department to ensure all technology related costs are accounted for and submitted.
  7. Provide technical support for on-site events and meetings as needed.
  8. Assist with new technology implementation and migration; example: conversion to Microsoft Teams, OneDrive, new payroll system and future technology upgrade needs.
  9. Minimum three days in-office time for needs that may arise.

Attributes for Success in this Role

  1. The successful candidate will be service-oriented, and an outstanding project manager and communicator.
  2. Understand complex IT systems, software, equipment, security and troubleshooting issues.
  3. Ability to anticipate needs, changes, and get in front of potential risks.
  4. Develop and maintain cooperative, effective working relationships with others.
  5. Communicate clearly and concisely, both verbally and in writing.
  6. Apply customer service skills, including the identification of customer needs and follow up to ensure customer commitments have been met.
  7. Demonstrated initiative to solve unstructured problems with little oversight, high energy, and a positive attitude.
  1. Work well independently, highly organized, efficient, and able to prioritize work based on minimal direction and sometimes multiple competing priorities.
  1. Interest in developing deeper skills and knowledge in organizational security, evaluating new threats, and defining best information security practices, especially as they apply to the human rights and reproductive freedom contexts.
  1. Exercise discretion and maintain confidentiality of information.

Your Background and Experience

  1. Preferred: Bachelor’s Degree in Computer Science, MIS, Computer Engineering or Similar Field
  2. Preferred: Experience working in an environment with staff across multiple locations
  3. Minimum 5 years’ experience in related IT role
  4. Minimum 5 years’ of managing people relationships, projects, and processes
  5. Although a degree is preferred, candidates who have professional experience in excess of 7 years, directly related to the role, will be considered.

Hiring Requirements
As part of our standard hiring process for new employees, employment will be contingent upon successful completion of a background check and proof of full vaccination against COVID-19 and any recommended booster doses, subject to applicable laws.

Inclusion Statement
We’re committed to creating a workplace where employees thrive both personally and professionally. This includes not only creating a diverse team where everyone feels represented, respected, and included, but also embedding these values across our work and practices.
